Job Title:  Head of Program Operations

CRCC Asia has led internship programs for over 9,000+ students and graduates from more than 100 countries. We offer a range of program models built to satisfy the interests of each of our partner institutions, including a wide range of unique custom and faculty-led programming.

Role:

Our new Head of Program Operations will be responsible for the program divisions that deliver our award-winning internship and short-term employability programs.  

 

You will be based in our Ho Chi Minh office- alongside our CEO, COO, and Director of Finance- and you will directly manage our China GM, Japan GM, Seoul GM, Ho Chi Minh City GM, Manchester GM, and Mumbai GM.

 

We welcome applicants who do not currently live or work in Vietnam, as we are able to offer a relocation package including necessary work/business visas.

 

As Head of Program Operations , no two days are ever the same! However to give you an insight , a typical day might include:

 

  • Advising the Tokyo team on how to handle a medical issue with a participant
  • Reviewing options for a new office in Mumbai
  • Working with COO to decide staffing plans for Q1
  • Conducting a final round interview for an employee for the Shanghai team
  • Reviewing commission submissions from each team
  • Meeting with a Chinese institutional partner who intend to run a new internship & study program
  • Working with Director of Finance to adjust budget for Seoul welcome event

 

Program Management 

  • Be the direct manager to our General Managers who oversee our teams in China, Japan, Korea, Vietnam, UK (Manchester)
  • Oversee renewal and/or onboarding of key suppliers – e.g. accommodation – adherence to budgets, health & safety, location/local conveniences , industry best practice
  • Work with COO and local GMs regarding local visa regulations, and proactively stay abreast of any changes
  • Directly oversee the creation and delivery of any new program locations to include:
    • Manage the Mumbai GM to successfully launch a brand new program for summer 2020. 
    • Uphold and maintain company standards for host companies, suppliers, events, and program service
    • Develop and implement POA for Year 2 operations

 

Staff Management and Human Resources 

  • Staff planning, recruitment and contract negotiation of permanent and temporary program team employees. During the peak summer months – our global program teams consist of approx 15 permanent staff + 20 temporary staff
  • Support and resolve employee issues such as visas, work scheduling, bandwidth, etc
  • Recruit, train and onboard new General Managers
  • Annual performance evaluations for General Managers
  • Devise, implement, maintain new standardised training for i) Business Development Managers – responsible for internship placements  ii) Program Managers – responsible for on the ground events and student welfare 

 

Participant Events & Welfare Management 

  • Support local GMs with handling participant issues- e.g. mental health, homesickness, 
  • Ensure that emergency reporting is adhered to for all participants to include internal reporting and follow-up to Director of University Partnerships
  • Support local GMs in meeting reporting requirements to internal teams to include weekly check-ins, incident reports, and event reports.
  • Act as final decision-maker for confidential participant welfare issues
  • Liaise with University Partnerships team to ensure program inclusions, accommodation, events, and seminars meet ever-changing industry standards

 

Business Development Management (Host Company Placements & Internship Management)

  • Accountable for quality internship placements across all locations- within specified deadlines.
  • Must ensure company ethos of ‘we will always find a suitable placement’ is upheld
  • Ensure HC policy aligns to health and safety best practices and is met with every host company in all 9 locations. 
  • Understand academic foundation and requirements for all placements and conduct placement audits to ensure placement quality and standards met. 
  • Work with Head of Program Development to ensure supply of host companies meets projected demand from universities and self-funded participants. 

 

Finance

  • Work with Director of Finance to periodically review program budgets- actuals vs projected. 
  • Monthly administration of payroll and expenses 
  • Collaborate with Director of Finance to better negotiate with suppliers resulting in cost-savings
  • Monthly administration of payroll and expenses with finance team

 

Partnerships Management

  • Internally support the university partnerships division to ensure that program and placement management meets academic and partnership criteria
  • Act as internal senior contact for any local institutional partnerships to include China Education Association for International Exchange, Mandarin House, embassies, local universities and more.
  • Support GMs in unpacking university partnership participant concerns or emergencies back to the university partnerships team 
  • Intermediate any problem-solving with external partnerships and programs teams, acting as senior support to the Director of University Partnerships. 

 

THIS JOB MIGHT BE FOR YOU IF:

 

  • You have experience with running internship and/or study abroad programs. You will need to be familiar with all the operational and logistical aspects of running such programs.  
  • You enjoy solving problems! You don’t defer or wait for instruction. You are able to analyse any type of situation- whether it be participant or colleague related, and are able to come up with tangible solutions. There is no “instruction manual” for many scenarios, so you’ll need to think on your feet and be confident enough to come to a logical decision
  • You are highly organized. You will have 9 offices – in 6 countries- across 3 time zones, all reporting into you. You’ll need a disciplined approach to prioritising and staying on top of your work!
  • You are adaptable. You need to be able to instantaneously switch from a task around data, budgets, and spreadsheets,  to suddenly needing to pick up the phone and speak to a team who have a participant emergency
  • You enjoy managing people. You understand how to tailor your management style with people with different motivations , cultural backgrounds, and experience.  
  • You lead from the front. No task is ever “too small” for you , you understand that sometimes the best support is simply be an extra resource for a networking event to obtain host companies, or be able to help with program events
  • You understand HR systems, management, and staff development supporting our international internship employability components

 

YOU MIGHT ALSO HAVE:

  • 2+ years experience living and/or working  in China, Japan, Vietnam, Korea, or India.

Introduction to the role

As our internship programs in Asia continue to impress our participants, university partners, and government education authorities, CRCC Asia’s Japan General Manager and the Director of Program Operations is looking for a committed and motivated young professional to become our General Manager for the new Osaka Internship Program which will be preparing for it’s second summer in operation.

The multifaceted role combines:

  • Operating an office and program team in Osaka
  • Partnership building/Business Development with relevant organisations in the Osaka area
  • Program management including direct contact with participants on the CRCC Asia Osaka program
  • HR, Finance and Operational Management

 

The position offers a unique professional opportunity related to a variety of fields including higher education, international education, career development, international relations, travel and tourism. 

Requirements:

  • Minimum Bachelor’s degree education, preferably in a business related field 
  • Proven leadership/project management experience (minimum 2 years)

Tasks and responsibilities:

  • Business development
    • Establish relationships with partner organizations for the placement of interns
    • Develop and implement strategies to source partnerships for internship placements
    • Explore a variety of industries in order to meet the demand for internships
    • Responsible for the Osaka operations and staff, including development of the team, selection of the local service providers, managing office budgets 
    • Attend events, seminars and conferences to promote and develop CRCC Asia’s brand in Osaka
  • Program management
    • Develop a calendar of cultural, social, business and community outreach events
    • Provide pastoral care to participants during their program, issues may range from logistical or cultural support to emergency situations
    • Work with University Partnership Managers to ensure program adheres to the requirements of bespoke or customised programs
    • Monitor and maintain CRM system to ensure placement progress, incidents, and events reporting for participants is kept up to date
  • HR management
    • Alongside the CRCC Asia senior management team  determine staffing requirements and plan temporary workforce in advance for peak/off peak season 
    • Alongside the CRCC Asia senior management team conduct training and onboarding process for new employees / trainees
    • Ensure compliance to local laws & company wide processes

The role of Alumni Manager will be based in our Ho Chi Minh City Office.  

 

Role:

The Alumni Relations Manager will manage the relationship with all CRCC Asia alumni (participants who have completed a CRCC Asia program). The role is to ensure that: (1) CRCC Asia continues to provide a service to alumni after their program (2) CRCC Asia can leverage it’s 8000+ alumni for activities such as careers fairs, info sessions, and employment workshops.

 

The Alumni Relations Manager will also be responsible for devising and managing global initiatives such as obtaining testimonials/success stories, curating newsletters,  launching a campus ambassador scheme, and collecting alumni data (e.g. employment status after a program),

 

This role is perfect for a recent graduate seeking an opportunity with significant autonomy and creativity, alongside the chance to  live in one of South East Asia’s most dynamic and vibrant cities! 

 

Responsibilities:

 

  • Conducting monthly ‘Welcome to the alumni network’ calls with participants who have recently finished their program

  • Sourcing alumni that will join our University Relations team at career/study abroad fairs or info sessions in the US, Australia, UK, and Mainland Europe

ROLE

CRCC Asia is currently hiring for a dynamic mid-level position within its University Partnerships department. The position will be based in Australia (or in HCMC, Vietnam if requested) and will report to the Director of University Partnerships based in Philadelphia, PA, USA. Our University Partnerships team focuses on two roles: New Partnership Development and Partnership Account Management. The position will work collaboratively with our regional and global teams to strengthen existing partnerships as well as establish new relationships at higher education institutions across Australia, New Zealand, East Asia and the Pacific.

 

Responsibilities:

Business development duties (45%):

Lead Nurturing and Development –

  • Manage a portfolio of pending university partner programs; overseeing strategy for finalizing programs with potential partner institutions
  • Establish new university partner leads through direct outreach, conferences, and networking
  • Develop, conduct, and evaluate campaigns to initiate contact with new institutions across the APAC region

Conference Attendance and Planning

  • Attend international education conferences as well as submit successful session proposals with university partners
  • Assist entire University Partnerships teams in preparing for conferences

New Program Development-

  • Operate as a consultant on the establishment of new programs to university partner contacts as they navigate the creation of new international internship programs on campus (Not every university will require this)
  • Conduct campaigns to grow relationships with new departments and contacts laterally across campus

Application for funding

  • Support the creation of successful NCP applications for students and universities.
  • Support PMSA applications with institutional partners bi-annually in March and August, including liaising with program teams to introduce innovative programs for increased success‌

 

Account management duties (40%) –

 

  • Partnership Support –

 

      • Manage a portfolio of university programs spanning a variety of program models including standard, custom, faculty-led, and partial services programs.
      • Collaborate with university partners to plan the logistics of each year’s program, passing on key details and descriptions to program location teams
    • Marketing and Communications-
      • Work with digital teams and marketing colleagues to create co-branded marketing materials for custom programs

 

  • Student Support and Recruitment

 

      • Visit partner institutions on campus to conduct recruitment and/or pre-departure events as required or requested by each partner institution
      • Work with admissions teams to establish correct protocol for pre-departure
      • Work with university partners to foster relationships with participants and alumni of the program, growing the number of global ambassadors at partner universities

 

  • Program Reporting-

 

    • Work with program location staff members to collect weekly and bi-weekly reports on student progress, and reporting back any incident or medical reports to the partner institution
    • Conduct thorough evaluations of each program following their close each term
    • Create post-program reports and sharing with key team members

 

Admissions Support (10%):

  • Liaise with Admissions team to translate your university partners needs
  • Confirm student applications and follow-up with Admissions
  • Support digital marketing campaigns, webinars, or outreach

 

General Tasks (5%):

  • Attend and/or plan, networking events
  • Market research
  • Data management in our CRM system
  • Email marketing campaigns

ROLE SPECIFICATIONS

  • This is a full-time role based remotely in Australia. If remote-based we are happy to provide coworking space 2+ days a week to work from.
  • All applicants should currently hold the right to work in Australia. 
  • Some travel required, 25%, mainly within Australia and New Zealand, with potential to travel outside of APAC to some of CRCC Asia’s programs or global conferences within 12-18 months.

Introduction to the role:

As our internship programs in Asia continue to impress our participants, university partners, and government education authorities, we are looking for a committed and motivated young professional to support our team in Tokyo during our largest summer program by providing hundreds of participants an incredible experience in Japan. Full training will be provided to bring you up to speed on our processes and goals.

The role will consist of two parts. From January to May the role will be a client-facing role working within the Business Development team. This will consist of:

  • Establish, build and maintain relationships with host companies for the placement of interns.
  • Explore new industries in order to meet the demand for internships.
  • Provide perfect match-making between intern profiles and company job descriptions.
  • Attend events, seminars and conferences in order to obtain business contacts and to represent CRCC Asia. 

From June to August the role will switch to a student-facing role with the Program Management team. The remit of this role is:

  • Organize logistics for large groups of interns.
  • Interns’ well-being in the city.
  • Alongside other Program Management Team Members, assist in complaint handling.
  • Solve and follow up on any issues arising between interns and Host Company by liaising with the Business Development Team.
  • Act as a ‘counsellor’ for interns.
  • Organize and execute the monthly program events.
  • Organize extra-curricular activities for program participants.

The position offers a unique professional opportunity providing insight and skill development related to a variety of fields including higher international education, career development, international relations, travel and tourism. The role would suit a recent graduate who wants to test out their skills before deciding which industry to enter.

ROLE

CRCC Asia is currently hiring for a dynamic mid-level position within its University Partnerships department. The position will be based in Australia (or in HCMC, Vietnam if requested) and will report to the Director of University Partnerships based in Philadelphia, PA, USA. Our University Partnerships team focuses on two roles: New Partnership Development and Partnership Account Management. The position will work collaboratively with our regional and global teams to strengthen existing partnerships as well as establish new relationships at higher education institutions across Australia, New Zealand, East Asia and the Pacific.

 

Responsibilities:

Business development duties (45%):

Lead Nurturing and Development –

  • Manage a portfolio of pending university partner programs; overseeing strategy for finalizing programs with potential partner institutions
  • Establish new university partner leads through direct outreach, conferences, and networking
  • Develop, conduct, and evaluate campaigns to initiate contact with new institutions across the APAC region

Conference Attendance and Planning

  • Attend international education conferences as well as submit successful session proposals with university partners

New Program Development-

Account management duties (40%) –

 

  • Partnership Support –

 

      • Manage a portfolio of university programs spanning a variety of program models including standard, custom, faculty-led, and partial services programs.
      • Collaborate with university partners to plan the logistics of each year’s program, passing on key details and descriptions to program location teams
    • Marketing and Communications-
      • Work with digital teams and marketing colleagues to create co-branded marketing materials for custom programs

 

  • Student Support and Recruitment

 

      • Visit partner institutions on campus to conduct recruitment and/or pre-departure events as required or requested by each partner institution
      • Work with admissions teams to establish correct protocol for pre-departure

Introduction to the role:

Role:

Our new Head of Program Operations will be responsible for the program divisions that deliver our award-winning internship and short-term employability programs.  

 

You will be based in our Ho Chi Minh office- alongside our CEO, COO, and Director of Finance- and you will directly manage our China GM, Japan GM, Seoul GM, Ho Chi Minh City GM, Manchester GM, and Mumbai GM.

As Head of Program Operations , no two days are ever the same! However to give you an insight , a typical day might include:

 

  • Advising the Tokyo team on how to handle a medical issue with a participant
  • Reviewing options for a new office in Mumbai
  • Working with COO to decide staffing plans for Q1
  • Conducting a final round interview for an employee for the Shanghai team
  • Reviewing commission submissions from each team
  • Meeting with a Chinese institutional partner who intend to run a new internship & study program
  • Working with Director of Finance to adjust budget for Seoul welcome event

 

Program Management 

  • Be the direct manager to our General Managers who oversee our teams in China, Japan, Korea, Vietnam, UK (Manchester)
  • Oversee renewal and/or onboarding of key suppliers – e.g. accommodation – adherence to budgets, health & safety, location/local conveniences , industry best practice
  • Work with COO and local GMs regarding local visa regulations, and proactively stay abreast of any changes
  • Directly oversee the creation and delivery of any new program locations to include:
    • Manage the Mumbai GM to successfully launch a brand new program for summer 2020. 
    • Uphold and maintain company standards for host companies, suppliers, events, and program service
    • Develop and implement POA for Year 2 operations

 

Staff Management and Human Resources 

  • Staff planning, recruitment and contract negotiation of permanent and temporary program team employees. During the peak summer months – our global program teams consist of approx 15 permanent staff + 20 temporary staff
  • Support and resolve employee issues such as visas, work scheduling, bandwidth, etc
  • Recruit, train and onboard new General Managers
  • Annual performance evaluations for General Managers
  • Devise, implement, maintain new standardised training for i) Business Development Managers – responsible for internship placements  ii) Program Managers – responsible for on the ground events and student welfare 

 

Participant Events & Welfare Management 

  • Support local GMs with handling participant issues- e.g. mental health, homesickness, 
  • Ensure that emergency reporting is adhered to for all participants to include internal reporting and follow-up to Director of University Partnerships
  • Support local GMs in meeting reporting requirements to internal teams to include weekly check-ins, incident reports, and event reports.
  • Act as final decision-maker for confidential participant welfare issues
  • Liaise with University Partnerships team to ensure program inclusions, accommodation, events, and seminars meet ever-changing industry standards

 

Business Development Management (Host Company Placements & Internship Management)

  • Accountable for quality internship placements across all locations- within specified deadlines.

  • Ensure HC policy aligns to health and safety best practices and is met with every host company in all 9 locations. 
  • Understand academic foundation and requirements for all placements and conduct placement audits to ensure placement quality and standards met.

Finance

  • Work with Director of Finance to periodically review program budgets- actuals vs projected.

Partnerships Management

  • Internally support the university partnerships division to ensure that program and placement management meets academic and partnership criteria

  • Support GMs in unpacking university partnership participant concerns or emergencies back to the university partnerships team

  • Operate as a consultant on the establishment of new programs to university partner contacts as they navigate the creation of new international internship programs on campus (Not every university will require this)
  • Conduct campaigns to grow relationships with new departments and contacts laterally across campus

Application for funding

  • Support the creation of successful NCP applications for students and universities.
  • Support PMSA applications with institutional partners bi-annually in March and August, including liaising with program teams to introduce innovative programs for increased success‌

 

Account management duties (40%) –

 

  • Partnership Support –

 

      • Manage a portfolio of university programs spanning a variety of program models including standard, custom, faculty-led, and partial services programs.
      • Collaborate with university partners to plan the logistics of each year’s program, passing on key details and descriptions to program location teams
    • Marketing and Communications-
      • Work with digital teams and marketing colleagues to create co-branded marketing materials for custom programs

 

  • Student Support and Recruitment

 

      • Visit partner institutions on campus to conduct recruitment and/or pre-departure events as required or requested by each partner institution
      • Work with admissions teams to establish correct protocol for pre-departure
      • Work with university partners to foster relationships with participants and alumni of the program, growing the number of global ambassadors at partner universities

 

  • Program Reporting-

 

    • Work with program location staff members to collect weekly and bi-weekly reports on student progress, and reporting back any incident or medical reports to the partner institution
    • Conduct thorough evaluations of each program following their close each term
    • Create post-program reports and sharing with key team members

 

Admissions Support (10%):

  • Liaise with Admissions team to translate your university partners needs
  • Confirm student applications and follow-up with Admissions
  • Support digital marketing campaigns, webinars, or outreach

 

General Tasks (5%):

  • Attend and/or plan, networking events
  • Market research
  • Data management in our CRM system
  • Email marketing campaigns

 

PREFERRED SKILLS

  • 2-5 years experience in business development or account management 
  • Experience of higher education and/or international education
  • Passion for travel and education
  • Creative, entrepreneurial, and flexible
  • Organization and project management skills
  • Able to effectively prioritize requests and projects
  • Prompt and effective communicator via email and telephone
  • Self-motivated and independent
  • Able to maintain oversight of projects while conducting semi-frequent to frequent outreach trips to universities and conferences
  • Data management or previous use of a CRM system
  • Experience traveling to, living in, or academic understanding of program locations: China, Japan, South Korea, Vietnam, India, USA or the UK

 

ROLE SPECIFICATIONS

  • This is a full-time role based remotely in Australia. If remote-based we are happy to provide coworking space 2+ days a week to work from.
  • All applicants should currently hold the right to work in Australia. 
  • Some travel required, 25%, mainly within Australia and New Zealand, with potential to travel outside of APAC to some of CRCC Asia’s programs or global conferences within 12-18 months.
  • We are open to this role being based in our global Headquarters in Ho Chi Minh City, Vietnam. If so:
    • We welcome applicants who do not currently live or work in Vietnam, as we are able to offer a relocation package including necessary work/business visas.
    • Work will be based in our CRCC Asia HCMC offices with flexible working- can work from home once a week

  • You are highly organized. You will be supporting  20+ partnerships including standard and custom programs while maintaining logistics with program teams and conducting outreach travel.
  • You can communicate effectively. You will need to adapt tone and message to support both your students and partners, as well as translating programming aspects into digestible pieces of information for your external stakeholders. 
  • You are highly motivated. This role marries account management with business development and therefore you’ll need to be passionate about promoting and selling our programs to universities.
  • Up for a challenge. We’ll give you as much responsibility as you can handle, as soon as you’re ready.  
  • You are proactive and resourceful. You don’t like hanging around waiting for things to happen- you get out there and make things happen! Taking initiative and utilizing creative problem-solving will be a must for all aspects of support. 
  • You are passionate: You have some experience studying and/or working abroad and want to share those stories with potential participants or you want to enhance student employability and career outcomes!
